Obowiązek prowadzenia dokumentacji opisującej sposób przetwarzania danych oraz środki techniczne i  organizacyjne zapewniające ochronę przetwarzania danych osobowych spoczywa na  każdym administratorze danych. Ciąży on  także na  podmiocie, któremu w drodze umowy powierzono przetwarzanie danych osobowych. Na dokumentację przetwarzania danych osobowych składa się przede wszystkim polityka bezpieczeństwa i instrukcja zarządzania systemem informatycznym służącym do przetwarzania danych osobowych. Powinna być ona znana i stosowana przez wszystkie osoby zaangażowane w przetwarzanie danych osobowych w jednostce organizacyjnej.

The obligation to keep documentation describing the data processing method and technical and organizational measures to protect personal data processing lies with each data administrator. It also lies within the entity which by contract has been entrusted with the processing of personal data. The documentation for processing of personal data consists primarily of safety policy and information system management instruction used for personal data processing. It should be known and applied by all persons involved in the process of personal data processing in an organizational unit
